About the team and the job:

The Melbourne, FL office of Acrisure Re is seeking a motivated and thoughtful candidate for the Team Assistant role supporting our expanding specialist reinsurance broking team. The successful candidate will join a dynamic and collaborative team providing support on a variety of areas with Senior Leadership, Reinsurance Broking team, and office administration. This candidate will be based in Melbourne, FL reporting to the EVP, Head of Florida Office.  The Team Assistant will provide extensive administrative support to the Florida team.

How you'll contribute: 

Senior Team Responsibilities:

  • Manage inbox for EVP, Head of Florida Office – file, prioritize, flag as appropriate
  • Extensive calendar management
  • Travel management – book travel directly with airlines, hotels, car rentals, etc ensuring most cost-effective travel arrangements and that it meets the Travel Policy; create and provide detailed travel itineraries
  • Expenses – ensure all expenses are submitted on time, with correct currencies and information
  • Scheduling and management of group client events and meetings on behalf of Brokers.
  • Ensure Brokers are well prepared for meetings, preparing agendas and meeting papers as necessary.
  • Client Event Organization / FL Visits, including welcoming, greeting clients and ordering or stocking conference room with refreshments for the meeting.

 

Reinsurance Broker Team Responsibilities:

  • Arrange meetings as applicable, book meeting rooms at Acrisure Re offices
  • Assisting with travel arrangements
  • Book restaurants
  • Expenses – where capacity allows
  • Create documentation, powerpoints for meetings and bind where necessary
  • Client visits – liaise with team on logistics, create extensive itineraries/agendas
  • Assist with any team events, conferences as applicable
  • Data entry support into the broker account management system

 

Office Administrator:

  • Office Space - ensure office is maintained to a high standard; liaise with building management
  • Vendor management/supplies - negotiate and manage various vendor/supplier relationships and services; monitor supplies and ensure they are fully stocked; coordinate archiving/storage/shredding.
  • Front Desk - general Reception duties including, but not limited to, screening phone calls, directing inquiries and requests, courier and office mail management and distribution, central contacts management.

 

Other Responsibilities:

  • Support with the creation of client packs and other documents, including formatting, printing, binding and distribution for Brokers and wider team as required.
  • Assist with any other reasonable duties as required

 

Requirements:

  • Strong administrative skills with excellent attention to detail and a high level of accuracy
  • Proficient user of Microsoft Office (Word, Excel, Outlook and PowerPoint)
  • Proven time management skills
  • Ability to work autonomously and take ownership, to prioritize a busy and varied workload for a number of different stakeholders at any one time
  • Strong organizational, planning and communication skills, both written and verbal.
  • Excellent attention to detail, with the ability to maintain a high level of accuracy.
  • Ability to take ownership and responsibility for tasks, with enthusiasm and drive.
  • Ability to take initiative when necessary and remain focused under pressure.
  • Comfortable and capable of communicating with all levels of people within and outside the business both written and verbally with a high level of professionalism
  • Maintain strict levels of confidentiality and exercise discretion at all time
  • Proactive and able to work effectively under pressure
  • Confident and professional manner
  • Effective team player, with a can-do and collaborative attitude.

  • In-person panel interview with Broking Leadership
